Here's a realistic timeline for doing it properly.
3-4 weeks out
Confirm your moving date and get a survey done at both the old and new office, not just one. Notify your building management at the old location and confirm access, lift bookings, and any move-out cleaning requirements in your lease. If your new space needs any fit-out work, this is also the point to lock in that timeline so it doesn't collide with your move date.
2 weeks out
Start an asset inventory, especially IT equipment, so nothing gets lost in the shuffle. Label everything by department or destination room in the new office, not just "kitchen" or "storage". If you have server racks or networked equipment, plan the cabling labelling now so reconnection at the new site is fast rather than a half-day guessing game.
1 week out
Confirm your moving company has the crew size and vehicle booked for an off-hours move, weekend or overnight, so your team isn't disrupted mid-week. Send a final internal notice with the new address, parking details, and any access codes your team will need on day one.
Moving weekend
- IT equipment moves last out, first in, so reconnection starts as early as possible
- A named point of contact on-site at both locations throughout the move
- Desks and furniture reassembled in the new layout before Monday, not left in boxes
- A final walkthrough of the old office to confirm nothing was left behind
Why timing off-hours matters
Most commercial movers in the UAE run weekend and overnight slots specifically so a business can close on Friday and reopen fully functional on Sunday or Monday. If your mover can't offer this, it's worth asking why, since it usually means a general moving crew rather than one set up for commercial jobs.
